Help
Straight answers. No jargon.
Can't find what you need? Email hello@accessibleagenda.com. A person answers.
Where do I send my PDFs?
When you sign up, you get your own private address, like docs-yourtown-k3f9qz@in.accessibleagenda.com. Email PDFs there from any approved sender. You can find it any time in your dashboard.
What files can I send?
PDF agendas, minutes and similar public meeting documents. Up to 10 PDFs and 25 MB of attachments per email. Too big to attach? Paste a link to the file in the email instead. Typed PDFs are fastest. Scans work too. Password-protected PDFs need the password removed first.
What comes back?
A web page to post on your own site, a tagged PDF/UA-1, and a short summary of what we checked and changed. Nothing is published on our servers; you post the files wherever you post today. The files are attached to your results email, with secure download links that last 7 days.
Can results go to our web provider or someone else?
Yes. Results always go back to whoever sent the file. In your dashboard settings, under “Send results to,” add up to 10 more addresses, like your website vendor, webmaster or deputy clerk. Everyone on the list gets the finished files automatically, so nobody has to forward anything.
How long does it take?
Most documents come back within minutes. Your first few documents also get a person’s check, as does anything with handwriting or a blurry scan. Those take longer, but every document comes back within one business day.
Do you change our content?
No. We fix structure, not wording. The only text fixes are obvious scanning errors, and each one is listed in your report.
What is a tagged PDF?
Tags tell screen readers what each part of the page is: a heading, a list, a table, an image. Without tags, a PDF is hard or impossible to navigate by ear.
Why a web page too?
Web pages work better on phones, zoom cleanly and are easier to search and navigate. The tagged PDF is still there for anyone who wants the familiar download.
Does passing veraPDF mean the PDF is fully accessible?
Not by itself. veraPDF checks technical rules. That is why we also compare every output with the original and send uncertain files to a person.
Does this make us legally compliant?
No one can honestly promise that. We help you meet the WCAG 2.1 AA technical standard and our PDFs pass automated PDF/UA checks. Your entity stays responsible for its legal obligations.
Is there a limit on documents or pages?
No. Your plan covers every agenda, set of minutes and packet your organization posts, with no page counts and no overage fees. Documents of any length are welcome. Anything over 100 pages is split automatically and comes back in parts, at no extra cost.
Our file is too big to email. What do we do?
Paste a link to it in the email instead of attaching it. A link to the PDF on your website works, and so do Google Drive, Dropbox and OneDrive links set to "Anyone with the link." Linked files can be up to 100 MB. If we can't open a link, we reply right away and tell you how to fix it.
How does the free trial work?
Sign up with your work email and pick your organization from the Census list of local governments. Your first 3 documents are free, with no card. After that, subscribe for $99 a month or $990 a year. Each organization gets one free trial, and a person reviews every trial document before it goes out.
Can we pay by invoice or purchase order?
Yes. Start free, then request a yearly invoice from our W-9 page with the email you signed up with. It has net-30 terms and your PO number. Questions? Email billing@accessibleagenda.com.
How long do you keep our files?
We delete your original PDFs and finished files 7 days after delivery. Your results email is your permanent copy, and you can delete any document sooner from your dashboard. Do not send documents with sensitive personal information.
